Your Brand Materials Are Talking Behind Your Back – Here’s How to Make Sure They’re Saying the Right Things

Before someone hires you, refers you, or even pays attention to what you’re saying, they’re evaluating your materials. Your brochure. Your flyer. Your logo. Your headshot. They’re running a fast, mostly unconscious credibility check, and outdated materials fail it before you’ve said a word.

If your trifold was printed five years ago, your logo was designed a decade ago, and your headshot is from ‘a few years back,’ your materials are actively working against you. The good news: updating them doesn’t require a massive budget or a graphic design agency. It requires smart tools and the right approach.

The Brochure Refresh: Use What You Have

You don’t have to rebuild from scratch. If your brochure content is still solid, you’re really just updating the design, the layout, and the photos. Here’s a practical starting point:

• Pull your existing brochure content into a document
• Add your current headshot, updated logo, and current contact info
• Open Canva and search their brochure templates. There are hundreds, many designed to look current and professional
• Drop your content into the new template, match your brand colors, and you’re done

Canva also connects directly to FedEx for printing. Design it, order it, pick it up down the street. No middleman, no minimum order, no waiting two weeks.

Trying AI for a Full Redesign

If you want to experiment with a more significant refresh, try feeding your existing materials into an AI tool like ChatGPT or NotebookLM. Give it your PDF brochure, your headshot, your color scheme, your logo, and a description of what you want, and let it generate options.

The key is to be specific in your prompts. Don’t just say ‘redesign this.’ Say: ‘Create a modern trifold brochure with this content, this color palette, this logo, and this headshot. Keep the face exactly as-is. The overall look should feel clean, professional, and current.’

AI image generation is still imperfect; you may need to iterate a few times. But it can get you to a strong starting point faster than a back-and-forth with a designer, especially for initial exploration.

The Power of a Framework Graphic

One of the highest-leverage things you can create as a speaker, coach, or consultant is a visual framework, a graphic that represents your signature system or process. Think of a roadmap, a flywheel, or a step-by-step model with your name on it.

Why does it matter? Because when you present with a clear, branded visual system, you immediately communicate:

• ‘I’ve thought deeply about this.’
• ‘I have a methodology, not just opinions.’
• ‘You can trust that there’s a structure to how I work.’

These graphics make you look 10 times more credible on stage, in proposals, and on social media. And with AI tools like Canva and NotebookLM, you can generate versions of these frameworks in an afternoon, not weeks.

Your Headshot Is Part of Your Brand

If your headshot is more than 3–4 years old, or if it no longer looks like you, update it. A professional headshot doesn’t require a studio shoot. A well-lit photo with a simple background and a strong, confident expression does the job. Use it everywhere: your brochure, your slides, your LinkedIn, your email signature, and your website.

Consistency across your materials builds trust. When someone sees the same photo, color scheme, and logo everywhere they encounter you, you feel established. Established feels safe to hire from.

The Bottom Line on Brand Materials

Your materials are a reflection of where your business is right now, not where it was when you first launched. A quarterly materials audit (30 minutes, once every 3 months) to check that everything is current, consistent, and looking its best is one of the highest-return investments of your time.

Update your logo if it feels dated. Refresh your brochure. Get a current headshot. Create a framework graphic. These aren’t vanity projects; they’re sales tools. Treat them that way.
